Five Everyday Business Workflows to Improve with AI

A useful AI project starts with a specific task, not a promise to automate an entire business. Choose work your team repeats, define what a good result looks like, and decide who checks the output. These five examples can help a small business plan a focused first project.

1. Organize incoming enquiries

AI can help sort messages into categories such as website requests, support questions, and general enquiries. Start by suggesting categories for a staff member to approve. Keep a clear route for unusual requests and do not let an automated system make commitments about pricing, availability, or contracts without authorization.

2. Prepare a first draft

Give the system approved service details, a writing brief, and examples of your preferred tone. Use the result as a draft for a person to check. Verify names, claims, quotations, and source permissions before publishing. Your team remains responsible for whether the finished message is accurate and suitable for customers.

3. Find internal instructions

A search assistant can help staff locate approved procedures and product information. Limit access to the documents each person is allowed to see. Ask the assistant to identify its source and show when it cannot find an answer. Test whether it invents steps when information is missing.

4. Summarize routine documents

Use summaries to help staff locate important sections in long documents, while keeping the original available for review. Check amounts, deadlines, exclusions, and action items against the source. A summary should not replace qualified review of a contract, financial decision, or other consequential matter.

5. Suggest the next follow-up

An assistant can draft a reminder or suggest a next step from approved CRM notes. Keep sending messages and changing customer records behind an appropriate review process at first. Make it easy for staff to correct an error and see which information produced the suggestion.

Run a small, measurable pilot

Pick one workflow, use a limited set of approved information, and record the errors as well as any time saved. Review provider settings and your obligations before entering personal or confidential data. NIST’s AI Risk Management Framework offers a voluntary structure for identifying and managing AI risks; it is a reference for planning, not a certification of your implementation.
